Information we collect

Depending on how you interact with us, we may collect your name, role and organisation; contact details; property or site details; job descriptions and operational information; correspondence; quotation, approval and invoicing information; and contractor or specialist business information where relevant.

Why we use it

We use information to respond to enquiries, clarify and triage requests, prepare quotations, coordinate suitable providers, arrange access, manage service delivery and evidence, administer accounts, handle issues and maintain appropriate business records.

Lawful basis

Depending on the circumstances, we process personal information where necessary to take steps at your request or perform a contract, for our legitimate interests in operating and administering property-support services, or to comply with legal obligations. Where we rely on legitimate interests, we consider the impact on the individuals concerned.

Who we share information with

Where necessary, information may be shared with assigned operatives, contractors or specialists; relevant client, property-management or authorised site contacts; and service providers supporting our email, cloud, website, business administration and professional advisers. We aim to share only information reasonably necessary for the relevant purpose.

AI and automation

Talvello may use software and AI to structure job information, identify missing information, prepare administrative drafts and support operational workflows. Material safety, competence, provider-approval and significant commercial decisions remain subject to human review.

Retention

We keep information only for as long as reasonably necessary for its purpose and applicable contractual, accounting, insurance, dispute and legal requirements. Retention periods vary by record type.

Security

We use proportionate access controls, named accounts and controlled sharing, and seek to limit access to information needed for the relevant task.

Your rights

Website technology

The seed website is intentionally lightweight and does not use non-essential advertising or analytics cookies. Hosting and enquiry-delivery providers process technical or enquiry data as required to provide those services.

Changes

We may update this notice as our services, systems or legal requirements change.
